Whether it is a school or a community program, it is always a nice challenge to be assigned in making the invitation and souvenir program for the event.

For this special project, Microsoft’s publisher program is very useful because you can set up a four page layout out of any ordinary sheet of paper. Typing will be very easy because you don’t have to worry about anticipating the different orientations of the pages in a folded sheet of paper.

Publisher will already do that for you and present the pages simply as pages one to four, the first page being the cover page, pages two and three will be the two inner sides of the folded sheet and the fourth page as the back cover.

The only things that you have to think about are the contents of each page.

Here are some guidelines on how you can set up your invitation / souvenir program.

Page 1

The first page can serve as your invitation.

It should contain the name of the event. This should be the center of attractions so it should be set at the center of the page with a font size and style that will be more noticeable than any other texts that will be included on the first page.

The next important information is the time, place and date of the event. All these information can be set just below the name of the event. The font size should be smaller than the title of the event but, nothing smaller than 12 as anything smaller will be harder to read and might be missed.

Most invitations only tell you what time an event starts but never tells you when it is expected to end. It would be very tactful to state when it would end so people can plan for their other commitments should there be any on that day.

Instead of stating “8 am”, you can be more considerate and say “8 – 9 am”. This additional information will be very helpful.

Then, you can type in the invitation sentences leaving the a blank space where the name of the invited guest will fall in. The names of the guests can be hand written individually.

Pages two and three should contain the program.

If it’s an awards ceremony, it would be great to include the names of the awardees if possible. This will make your invitation / souvenir program more meaningful to the guests who are related to the awardees.

All the sections of the program should be itemized in these two pages so that the guests can follow the program as it flows.

Page 4

The back cover page can be reserved for any texts that will involve community participation. If it is a school function where everyone will be singing an alma mater song, the lyrics can be printed on this page so everyone can sing along.

When all is set you can choose a nice thick printable paper and go to a Walgreens Photo shop and print the assigned number of copies.
